What Are Answering Rules?

Answering Rules are one of the great features of the Virtual PBX phone system that makes company life even easy and allows incoming callers more accessibility for reaching company personnel. Callers can be redirected to direct extensions, voicemails, or other phone lines based on the rules created through the online interface management system.

Management can create rules to redirect these calls based on the date, time, telephone number dialed, and even the phone number of the incoming caller. For instance, during after-business hours, a special greeting can be played to alert callers of the company working hours as well as any other appropriate announcements. If there are particular calls that need to be directed elsewhere, the rules can determine which callers need to be forwarded to another phone number. The same is true for company holidays, employee vacations, or other company events when the office may be closed or otherwise occupied. Staff can automatically have family members or VIP customers directed to cell phones or direct extension instead of having priority callers listen to the initial greeting or being forwarded to voicemail.

Imagine your company offering a special deal or promotion. Using a special phone number in the advertising allows all callers of that number to perhaps be routed directly to the sales department. There are many options that are available to set answering rules to increase the communication efficiency for all involved. There are no set guidelines. The answering rules can be established based on the needs of the company.
