Call Announce Can Also Keep Efficiency In-Office
May 8, 2008
The Call Announce feature of the Virtual PBX phone system is also a necessary tool to help keep productivity and efficiency around the office. Through the automated Interactive Voice Response system, also known as the Virtual Receptionist, all callers must announce themselves before being transferred on to another extension. When prompted by the system, the caller will be asked to state their name. As they are placed on hold, the caller’s name will be announced to the extension holder for consideration.
Staff members have several options when it comes to handling the call. Employees can immediately access the call if considered to be a priority. In the event of a bothersome nuisance call, the call can be immediately blocked from the extension. Staff can also transfer the call to the voice mail system for convenient access at a later, more convenient time.
There are also occasions where a caller accesses the wrong extension or department. In that event, the extension holder can redirect the call and transfer it directly to another extension. This can also be useful for management who wish to transfer a call to their assistant or secretary.
Subsequently, incoming callers do not have to suffer through long hold times as they are transferred through the extension. Once staff makes a decision about the direction of the call, they are transferred immediately.
Essentially, the Virtual PBX phone system’s Call Announce feature gives staff control over the phones and incoming calls. They can utilize their work time to their advantage and still never miss an incoming call from an important client or customer. Telemarketers and sales people need only be dealt with on an as needed basis - like when you are ready to make a purchase.
